Q: Why are my block dates not appearing correctly on Amion if they are correct in OnCall? 

A: When you are setting your block dates in OnCall, you need to ensure that your All Staff view is turned off. Then go to View/Block Width/Custom. The block dates listed on your first Staff Type page drive the dates seen for All Staff on Amion.com. To see other staff type block dates, you will need to select staff type from the All Staff drop-down. Refer to this article for more details.

 

Q: How do I schedule for one specific day rather than one block?

A: Change your Block Width to the daily view. Go to the View menu and select Block width, Day.

Q: What are split dates and what do they do? 

A: Split dates are for when a resident is on more than one rotation within a block period. The split rotations appear in red text separated by a vertical bar. The second half of the split begins on the Split  Date set up for the block. In the sample below, resident Adams is on Cards from 7/1 through 7/13 and then on Endo from 7/15 through 7/27. Refer to this article for more details.

Q: Why is there different color text on the schedule?

A: Blue = Exception Text, Red = Split Rotation.  

If a person is on the same service for every day of a block, the rotation name appears in black text. If a person is on one service for the first half of a block and another for the second half, you will see a red split block, such as ER | Vac. If a person has any other mix of assignments in a block, the service the person is on the most shows in black text, and other assignments in blue text at the top of the block cells.

Q: How do I add a service on the Call/Shift schedule?  

A: All services are automatically an option on the block schedule. To add a row to the Call/Shift  schedule, you need to define that the service takes Call or does Shift work. Go to File/General  Setup/Services. Enter the name of the service and select Call or Shift from the second text field drop down menu. Refer to this article for more details.

Q: If I built a staff by rule for my call/shift service why aren’t there staff names listed in my infobox  Team Summary to select from? 

A: Team Summary = everyone assigned to that rotation. In the Infobox, the call/shift service is tied to a rotation. You must have someone assigned to that rotation for their name to populate under the Team  Summary list. Refer to this article for more details.

Q: How do I add clinic assignments? 

A: These can be added individually or by using our Clinic Tool.  

Individual Entry: Click on the cell for the AM or PM shift and then click on the clinic name in the Infobox so that it auto-populates in the cell. 

Clinic Tool: From the clinic schedule, click on a staff name along the left-hand side of the schedule so their name becomes highlighted yellow. Then in the Infobox, click on the Clinics button.

In the Clinic Tool window, check the days that a clinic will be assigned. Select the duration: All Year or  When on a specific service. Select the name of the clinic they should be assigned to and then Apply it to the Individual, Staff with the same staff type, or All Staff. Repeat steps for multiple clinic locations.

Q: How do you show block assignments on the Clinic schedule?

A: Right-click on a staff name along the left-hand side of the schedule. Then select Show Block  Assignments in the menu options. Refer to this article for more details.

Q: How do I convert to a new academic year? 

A: Go to the File menu and select Convert to YYYY-YYYY. Refer to this article and Amion Academy module for more details.

Q: Will converting to a new year delete/change anything on my previous year? 

A: No, each academic year is a separate schedule file. The conversion creates a template for the next year and does not overwrite or affect your current year's schedule. The conversion saves you from having to re-enter all your staff, rotations, clinics, contact info, and other settings that remain the same each year. Refer to this article and Amion Academy module for more details.

 

Q: How do I delete the old block assignments? 

A: During the conversion process, and after you’ve removed the graduating class, bring up the block page that has staff who will be the new seniors. Go to Edit / Move all to and move staff to the senior page. You will then receive a prompt to clear their block assignments. Click yes if you will be entering in new block schedules for the selected staff type. Continue advancing staff to new levels until you end up with a blank level 1 page. The block assignments should then be cleared for all levels. If you accidentally click No when prompted, select all cells on the block schedule and then hit the Delete key on your keyboard. Q: How do I remove my graduating class? 

A: First you need to ensure you have converted to the next academic year. Then from the graduating class’ block schedule, go to View and turn off the All-Staff option. Next, click on any resident name along the left side of the schedule so it becomes highlighted yellow. Go to Edit/Remove. In the Remove  Window, click Remove all (Graduating) Staff. Q: Once I convert my residency schedule to the new academic year, how do I navigate between years? 

A: Each academic year is a separate schedule file. Go to the File menu and then select Open. In the dialogue box that appears, click on the Open from Amion button in the lower right. You will then have the option to select the year you want to open.  

Note: This option will only appear until August of the new academic year. After that you will need to access your separate files from the Amion Administrator page. Refer to this article and Amion Academy module for more details.

Q: Why are some cells on the Clinic schedule in teal? 

A: The dates appearing in teal are from the previous academic year. Refer to this article for more details.

Q: Where do the overlapping dates/assignments pull from on Amion?  

A: They only overlap in the Who’s On list but can be confusing if you view a monthly grid since it shows assignments from both schedules. It is best to not have overlapping dates. Check out the following tutorial video.

 

Q: If I can see assignments in OnCall, why aren’t they seen on Amion.com? 

A: Check the publish thru date. Go to File/Publish to Amion… In the publish window on the left-hand side, you have the option to publish Call, Clinics, and Shifts to different dates. End users will only be able to see assignments up to the date you have selected. Refer to this article for more details.

Q: How do I change staff from a Resident to an Attending? 

A: Go to the File menu, select General Setup, and then go to the Staff Tab. Select the name of the staff and then change their Staff Type by clicking on the drop-down menu in the second text box. Refer to this article for more details.

 

Q: How do I add a pager number for a service rather than an individual? 

A: In OnCall, click on the Call or Shift schedule then left-click on the service you’d like to add the pager number for so that it becomes highlighted yellow. In the Infobox, click on the green pager icon in the top right.  

Then enter the pager number and click OK. The service pager will be listed next to the staff who are assigned to the service rather than their personal pager numbers.
