QGenda Integration - Amion Classic

Amion has a partnership with QGenda to synchronize assignments from QGenda into Amion. Here are a few things to keep in mind before proceeding with the setup:

  • Learning Amion's scheduler is still needed to build and maintain your group's schedule.
  • Assignment changes made in Amion will not push into QGenda.
  • The integration relies on a shell schedule in Amion that matches line by line in QG.
  • Setup changes to your schedule need to be made in both Amion and QGenda.
  • Monthly, you'll need to ensure your QGenda schedule is correctly synced into Amion. (Sometimes, the sync runs into issues).
  • Annually, you'll need to advance your Amion schedule to the next year.

Setup Instructions

Create an Amion schedule file that mirrors your QGenda setup of tasks, staff names, and contact information.

  1. Attend Amion Academy to learn how to build your new schedule in Amion's scheduler, OnCloud.

  2. Create your new Amion schedule with the following in mind:

    • General Setup / Services tab - In Amion, "Services" is the same as "Tasks" in QGenda. The service names don't have to be identical to QGenda, as your hospital may want your services labeled differently, but they need to be similar so it is clear for QGenda when mapping.
    • General Setup / Staff types tab - The staff types you enter need to follow your hospital's standards in both name and font color.
    • General Setup / Staff tab - The staff names do not need to mirror how they appear in QGenda. They should be full names, following your hospital's standards. Most likely in the format of LastName, FirstName.
    • Service times - Ensure the start and end times have been set per service in the schedule.
    • Contact information - Ensure you've entered staff personal contact information as per your hospital's standards. Also, add static house numbers to the services it applies.

  3. Once your Amion schedule is published, provide your QGenda rep with your schedule's Amion group access code. Do not provide QGenda with your Amion admin code. QGenda will then begin the integration on their end to push QGenda data into Amion.

Troubleshooting

  1. The QGenda assignments appear inOnCloud but are not visible when viewing at Amion.com:

    • Check the publish-thru date set on your Amion scheduler to ensure it is a future date (recommended a year out):
      • Open your schedule in OnCloud.
      • Then go to File menu / Publish to Amion to extend your schedule's publish-thru date.
      • Afterward, resync the QGenda feed into Amion by clicking the Deathstar icon on your online Amion Administrator page.

  2. A provider's QGenda assignments do not appear inOnCloud:

    • On your online Amion Administrator page, click the red pencil icon to access your Amion schedule in "on-the-fly" edit mode.
    • Click on the missing provider's assignment that shows in gray font with 3 dashes   "--- "      in your Amion schedule.
    • A yellow box appears with QGenda troubleshooting data for the selected assignment. It includes whether QGenda is sending data to Amion and, if yes, the data range. If the missing provider's name has yet to be synced with QGenda, their staff ID appears in parenthesis () next to their name. Provide this ID to your QGenda rep.
