One-way Swaps on Next - Instructions for Staff

Amion lets you swap shifts with colleagues or even give away a shift. 

A one-way swap occurs when a staff member gives their scheduled shift to another qualified staff member without receiving a shift in return. If you don’t have someone in mind that you’d like to give the shift away to, you can leverage the ‘Open Pool’ option for someone to pick up the shift you’d like to give away. Additional troubleshooting is listed at the bottom of this guide.

  1. Log in to your group's schedule at amion.com. On the main toolbar at the top, click on ‘my schedule’.
  2. From ‘my schedule’, click on the ‘New Request’ button in the top right.

  1. Select ‘Give Shift’ in the request options. The swap calendar displays all your shifts. Select the shift you want to give away. You can only select shifts from the current date onward. As a reminder, you're still responsible for the shift, until someone else picks it up. 

  1. Select the person to whom you are giving the shift and ‘Submit Request’.

  1. Amion emails your colleague to confirm the shift pickup. The swap will appear in the schedule only after your colleague agrees. For swaps, to be available, emails must be available for the end users.
  2. When a pickup is confirmed, amion.com emails you to say that your colleague accepted the shift. It also emails the person in charge of the schedule so that he or she is aware of all trades, if enabled. Additionally, your scheduler may also need to approve the swap.
  3. If you don’t have someone in mind that you’d like to give the shift away to, you can leverage the ‘Open Pool’ option for someone to pick up the shift you’d like to give away.
  4. *Note: Some users won’t see a ‘New Request’ button. In these cases, please contact your admin. 
    1.  If swaps haven’t been enabled by your group’s scheduler, then you won’t be able to leverage this feature. 
    2. Alternatively, if it’s been enabled, but you specifically don’t have the request button, connect with your scheduler to ensure your email address has been added and you have gone through the verification process. See image below.
    3. If a colleague is not receiving the swap notifications, they likely have not completed the verification process. This is something that all users will need to complete to fully leverage this feature.
