Setting Up Swaps in Amion
Swaps let staff trade shifts with each other without going back and forth with a scheduler. Two providers agree to exchange shifts one-for-one, the swap is checked against your scheduling rules, and the schedule updates automatically. You control which swap options are available, and whether swaps need your approval, from your schedule's request settings.
Where to find swap settings
- Go to Settings from your schedule manager.
- Under Requests, select Preferences.
- Scroll to the Swaps and One-way Swaps sections.
Swap options
Swaps (staff trade assignments with each other)
- Allow staff to swap assignments (recommended): Lets staff trade assignments directly with one another.
- Require admin review for swaps: When checked, swaps must be approved by an admin before the schedule updates. When unchecked, approved swaps update the schedule automatically.
One-way Swaps (staff give shifts to others for pickup)
- Allow staff to give shifts to others: Lets staff hand a shift to a specific colleague.
- Require admin review for shift pickups: When checked, pickups must be approved by an admin before the schedule updates.
For a breakdown of how one-way swaps, two-way swaps, and the Open Pool differ, see here.
Choosing whether to require approval
- Leave approval off if you want swaps to go through without your involvement. Swaps are still checked against your scheduling rules, so your schedule stays accurate.
- Turn approval on if you want to review each swap or pickup before it takes effect. Requests will wait for your review, so make sure someone is monitoring them.
Tips
- Review your Rules settings before enabling swaps, since swaps are validated against them.
- Changes apply to your schedule going forward. Let staff know which options are available and whether approval is required.
